We are seeking an organized, detail-oriented Air and Ocean Export Coordinator to help keep shipments moving smoothly and provide responsive service to customers. In this role, you will coordinate with exporters, vendors, carriers, warehouses, and internal teams while handling quotes, shipping documents, billing, and customer inquiries.

What You’ll Do

  • Coordinate export shipments with customers, vendors, and transportation providers.
  • Request vendor rates, prepare customer quotations, and provide instructions to warehouses, trucking companies, ocean carriers, airlines, and other service providers.
  • Review ocean bills of lading, air waybills, shipping instructions, AES filings, and other export documents for accuracy.

  • Coordinate with accounting on checks for terminal charges and other service fees.
  • Respond promptly and professionally to customer questions, order requests, and service issues.
  • Maintain export account records, audit files, and help onboard new department members.

You’ll work closely with our branch offices, Japan team, accounting staff, customers, carriers, terminals, trucking companies, and other vendors. The position reports to the Export Manager, Assistant Manager, or Supervisor and has no supervisory responsibilities.

What We’re Looking For

  • Strong organization, time management, communication, and customer service skills.
  • Careful attention to detail, especially when reviewing documents and meeting shipment deadlines.
  • Confidence using computers and performing basic arithmetic.
  • The ability to solve routine problems, follow written and verbal instructions, and work independently when needed.
  • Proficiency in written and spoken English.

A high school diploma is required. 2-4 years of Air and Ocean Export operations experience in warehousing, trucking, or freight forwarding is preferred. Experience in logistics coordination is also preferred. Hazmat or Dangerous Goods certification may be required or obtained as needed.

This is primarily an office-based role involving daily computer work. Occasional time in a warehouse may require appropriate footwear and attire. Duties may vary based on operational needs.
